Privacy Policy

Last Updated: 15 September 2026

This Privacy Policy describes how Parentmed Limited ("we", "us", "our" or "ParentMed") collects, uses, discloses, and safeguards the personal information provided by users ("you" or "your") of the ParentMed website located at www.parentmed.co.uk ("Our Site"), wherever in the world you access it from, and explains your rights.

Please read this Privacy Policy carefully. It should be read together with our Terms and Conditions and our Cookie Policy. If you live outside the UK, please also read Section 9, which explains your additional rights under the laws of India, the European Union, the United States, and other countries.

1. Information We Collect

1.1 Personal Information

We may collect personal information from you when you use Our Site. The types of personal information we collect may include:

  • Contact Information: Such as your name, email address, and phone number.
  • Demographic Information: Such as your age, gender, and location.
  • User-Generated Content: Any content you voluntarily provide, such as reviews, comments, or questions submitted through Our Site. Please do not include health information about you or your child, or anything that could identify your child, in public comments or reviews.
  • Health Information: If you choose to tell us about your own or your child's health (for example, when asking a question or booking a course), this is treated as sensitive personal data under the laws of many countries, including special category data under UK and EU law. We will only use it with your explicit consent, and only for the purpose for which you provided it.
  • Payment Information: If you make a purchase on Our Site, your card details are collected and processed securely by our payment provider. We do not see or store your full card details. We may receive limited information, such as the last four digits of your card and confirmation that payment has been made.
  • Comments: When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor's IP address and browser user agent string to help spam detection. An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

1.2 Automatically Collected Information

We may automatically collect certain information about your use of Our Site, including:

  • Usage Data: Such as your IP address, browser type, device type, and operating system.
  • Analytics Data: Information about your interactions with Our Site, including the pages you visit, the content you view, and your navigation patterns.
  • Cookies and Similar Technologies: We may use cookies, web beacons, and other tracking technologies to collect information about your online activities. If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year. If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser. When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select "Remember Me", your login will persist for two weeks. If you log out of your account, the login cookies will be removed. We only use non-essential cookies, such as analytics cookies, with your consent. For more information, please see our Cookie Policy.
  • Embedded content from other websites: Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website. These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.
  • Media: If you upload images to the website with embedded location data (EXIF GPS), visitors to the website can download and extract any location data from images on the website.

2. How We Use Your Information

We may use the information we collect for various purposes, including:

  • Providing Services: To deliver the services and information you request, including educational courses and resources.
  • Communication: To respond to your enquiries, comments, or requests and to send administrative information to you.
  • Personalisation: To tailor your experience on Our Site, including personalised content and recommendations.
  • Marketing: To send you marketing communications, promotions, and newsletters, subject to your consent where required by applicable law.
  • Analytics: To analyse and improve the functionality, performance, and effectiveness of Our Site.
  • Compliance: To comply with legal obligations, resolve disputes, and enforce our agreements.

Our legal bases for using your information under UK and EU data protection law are (for users in India, see Section 9):

  • Contract: to provide the courses and services you buy from us, and to manage your account.
  • Legitimate interests: to run, secure, and improve Our Site, respond to your enquiries, moderate comments, and prevent spam and fraud, where these interests are not overridden by your rights.
  • Consent: for non-essential cookies, for marketing where the law requires consent, and for any health information you share with us. You can withdraw your consent at any time.
  • Legal obligation: to keep financial records and comply with the law.

We do not make decisions about you based solely on automated processing that have legal or similarly significant effects on you. You do not have to give us your personal information, but if you do not, we may not be able to provide some courses or services.

3. How Long We Keep Your Data

  • If you leave a comment, the comment and its metadata are kept for as long as the comment is displayed on Our Site. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.
  • If you register an account on Our Site, we also store the personal information you provide in your user profile. You can see, edit, or delete your personal information at any time (except your username). Our website administrators can also see and edit that information.
  • Purchase and payment records are kept for six years after the end of the financial year they relate to, to meet our legal and tax obligations.
  • Enquiries and correspondence are kept for 2 years after our last contact with you.
  • If you receive marketing from us, we keep your contact details until you unsubscribe. After that, we keep a record of your opt-out so that we do not contact you again.
  • We keep all other information only for as long as we need it for the purposes set out in this policy.
  • Where the law of another country requires us to keep information for longer (for example, Indian law requires certain records of processing to be kept for at least one year), we will keep it for that period.

4. Sharing Your Information

We may share your information with third parties in the following circumstances:

  • Service Providers: We may disclose your information to third-party service providers who help us operate Our Site, process payments, or provide other services, such as website hosting, email, and analytics providers. They may only use your information in line with our instructions.
  • Spam Detection: Visitor comments may be checked through an automated spam detection service.
  • Legal Compliance: We may share your information to comply with legal obligations, such as responding to lawful requests from public authorities.
  • Business Transfers: In the event of a merger, acquisition, or sale of all or a portion of our assets, your information may be transferred to the acquiring entity.
  • Consent: We may share your information with third parties when you provide explicit consent for such sharing.

International Transfers: Our Site is operated from the UK, so if you live outside the UK your information will be transferred to and processed in the UK. The European Commission recognises the UK as providing an adequate level of data protection. Some of our service providers (for example, Gravatar, which is operated by Automattic Inc.) are based in other countries, including the United States. When we transfer your information to another country, we make sure appropriate safeguards are in place, such as adequacy regulations or decisions, the EU-US Data Privacy Framework and its UK Extension, or standard contractual clauses (including the International Data Transfer Agreement or Addendum issued by the Information Commissioner's Office). We will not transfer the personal data of users in India to any country or territory that the Government of India has restricted.

5. Your Rights and Choices

You have rights over the collection, use, and sharing of your personal information:

  • Opt-Out: You may opt out of receiving marketing communications from us by following the instructions provided in such communications or by contacting us directly.
  • Cookie Settings: You can manage your cookie preferences through your browser settings as described in our Cookie Policy.
  • Your Rights: Under UK data protection law (and similar laws in many other countries), you have the right to: access the personal information we hold about you; ask us to correct inaccurate information; ask us to delete your information; ask us to restrict or object to how we use your information; ask for your information in a portable format; and withdraw your consent at any time where we rely on consent. Some of these rights only apply in certain circumstances. To exercise any of these rights, please contact us using the details in Section 10. We will respond within one month.
  • Complaints: If you are unhappy with how we handle your information, please contact us first. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113. If you live outside the UK, you can also complain to the data protection authority in your country (see Section 9).

6. Security

We implement reasonable security measures to protect your personal information. However, no data transmission over the internet or electronic storage system is completely secure. Please take appropriate precautions to protect your personal information. If a personal data breach occurs that is likely to affect you, we will notify you and the relevant authorities as required by the law that applies to you.

7. Children's Privacy

Our Site is intended for adults, such as parents and carers, and is not directed at children (in this policy, anyone under 18). We do not knowingly collect personal information directly from children. If you believe a child has provided us with personal information, please contact us, and we will take appropriate steps to delete it. If you share information about your child with us, we will handle it in line with this Privacy Policy, and where the law requires it, we will ask for verifiable consent from the child's parent or lawful guardian. We do not use information about children for tracking, behavioural monitoring, or targeted advertising.

8. Changes to this Privacy Policy

We may update this Privacy Policy to reflect changes in our practices or for other operational, legal, or regulatory reasons. Any changes will be posted on this page with an updated "Last Updated" date. Please review this Privacy Policy periodically. If we make significant changes, we will let you know, for example by email or by a notice on Our Site.

9. Users Outside the UK

Our Site can be accessed from anywhere in the world. If you live outside the UK, the following additional terms apply. Where the law of your country gives you greater protection than this policy, we will follow that law.

  • India: We process your personal data in line with the Digital Personal Data Protection Act, 2023 and the Digital Personal Data Protection Rules, 2025, and the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011 while they remain in force. We process your personal data only with your consent, or for legitimate uses permitted by law (for example, where you voluntarily provide your data for a specific purpose and have not said that you do not consent, or where we must comply with the law). You can withdraw your consent at any time, as easily as you gave it. You have the right to obtain information about your personal data and how we use it; to have it corrected, completed, updated, or erased; to have your grievances addressed; and to nominate another person to exercise your rights if you die or become unable to do so. You can make a request or complaint to our Grievance Officer (see Section 10), and we will respond within one month. If you are not satisfied with our response, you can complain to the Data Protection Board of India.
  • European Union and European Economic Area: The EU General Data Protection Regulation (GDPR) gives you the rights described in Section 5, and our legal bases are those set out in Section 2. You can complain to the data protection authority in the country where you live or work.
  • United States: Depending on the state you live in, you may have the right to know about, access, correct, and delete your personal information, and to opt out of the sale of your personal information, targeted advertising, and profiling. We do not sell your personal information. To exercise your rights, please contact us (see Section 10). We will not treat you differently for doing so.
  • Other Countries: If you live elsewhere (for example, in Australia, Canada, or the United Arab Emirates), you may have similar rights under your local law. Please contact us to exercise them, and we will respond in line with the law that applies to you.

Refund Policy

Refund Policy

Effective Date: 15 September 2026

1. Introduction

ParentMed is committed to providing quality educational courses for parents, grandparents and other carers. We understand that sometimes circumstances change, and you may need to request a refund. Our refund policy outlines the eligibility criteria for refunds and the process to follow.

This policy applies to courses bought from ParentMed (Parentmed Limited, a company registered in England and Wales) by consumers in any country. It is written to meet UK consumer law and to respect the consumer protection laws of other countries where our customers live, including India and the European Union (see Section 5). Nothing in this policy affects your statutory rights under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, the Consumer Rights Act 2015, or the law of the country where you live.

2. Eligible Refund Situations

You may be eligible for a refund under the following circumstances:

  • Cancellation within the Cooling-Off Period: Wherever you live, you can cancel your enrolment at any time within 14 days starting the day after your purchase (the "cooling-off period"). You do not need to give a reason, and you will receive a full refund.
  • Courses Starting within the Cooling-Off Period: If you ask us to start your course, or to give you access to course materials, before the cooling-off period ends and you then cancel, we may deduct a proportionate amount for the part of the course already provided.
  • Course Problems: If a course is not provided with reasonable care and skill, or is not as described, we will put it right (for example, by repeating the relevant session or correcting the course materials) within a reasonable time and without significant inconvenience to you. If we cannot do so, you are entitled to a refund of some or all of the price, depending on the extent of the problem.
  • Cancellation or Changes by Us: If we cancel a course, or make a significant change to its dates or content, you can choose a full refund or, where available, a place on an alternative date.

3. Ineligible Refund Situations

Refunds will not be granted in the following situations:

  • Cancellation within One Week of the Course Starting: Once the cooling-off period has ended, cancellations made within one week of the course start date will not be eligible for a refund. Customers in India should also see Section 5(b).
  • Failure to Attend or Complete the Course: Except where Section 2 applies, we do not offer refunds if you do not attend or complete the course.

4. Refund Request Process

To request a refund, please follow these steps:

  • Contact Support: Send an email to [email protected] with the subject line "Refund Request" and include the following information:
    • Your full name
    • The course name and purchase date
    • A brief explanation of why you are requesting a refund (you do not need to give a reason if you are cancelling within the cooling-off period)
Any clear statement that you wish to cancel is enough; you do not have to use a particular form, but you may use the model cancellation form in the Annex to this policy.
  • Review and Response: We will review your refund request and respond to you within 5 working days. If you are cancelling within the cooling-off period, we will simply confirm your cancellation.
  • Refund Processing: We will issue refunds without undue delay. If you cancel within the cooling-off period, we will refund you within 14 days of the day you tell us you wish to cancel. For other approved refunds, we will process the refund within 10 working days of approval. Refunds will be made to the original payment method used for the purchase, and we will not charge you a fee for the refund. Refunds will be made in the currency you paid in. The amount you receive may differ slightly because of exchange-rate changes or charges made by your own bank or card provider, which are outside our control. In this policy, "working days" means Monday to Friday, excluding public holidays in England.

5. Customers Outside the UK

The following additional terms apply depending on where you live:

  • All Customers: The consumer protection laws of your country may give you rights that cannot be excluded or limited by agreement. This policy does not take away any of those rights. Where this policy and your local law differ, we will apply whichever gives you greater protection.
  • Customers in India: We follow the Consumer Protection Act, 2019 and the Consumer Protection (E-Commerce) Rules, 2020. Our Grievance Officer (see Section 6) will acknowledge your complaint within 48 hours and resolve it within one month of receiving it. We will not charge you a cancellation fee after you have confirmed your purchase unless we would bear a similar charge if we cancelled the purchase ourselves. We will pay accepted refunds within a reasonable time and within the timescales in Section 4. You can also contact the National Consumer Helpline (call 1915 or visit consumerhelpline.gov.in) or file a complaint with the Consumer Commission where you live or work, including online through e-Jagriti.
  • Customers in the European Union: You have a 14-day right of withdrawal on the terms set out in Section 2. You can withdraw by email, or by using the model cancellation form in the Annex. We will confirm receipt of your withdrawal by email without undue delay.
  • Customers in Other Countries: In countries such as Australia, the United Arab Emirates, and the United States, local law may give you consumer guarantees or other rights (for example, a right to a remedy if a service is not provided with due care and skill). These rights continue to apply alongside this policy.
  • Governing Law and Disputes: This policy is governed by the laws of England and Wales. If you are a consumer, you will also benefit from any mandatory provisions of the law of the country where you live, and you may bring a claim in the courts, consumer commissions, or tribunals of that country. We encourage you to contact us first so that we can try to resolve the matter.

Inclusion & Accessibility

Inclusion and Accessibility Policy

Effective Date: 15 September 2026

At ParentMed, we are dedicated to creating an inclusive and accessible online learning environment for all parents, grandparents, and carers, wherever they live. We believe that everyone, regardless of their abilities, backgrounds, or circumstances, should have equal access to our educational resources. This inclusion policy outlines our commitment to fostering an inclusive community for all.

This policy applies to everyone who uses the ParentMed website and courses, in any country. It is designed to meet the UK Equality Act 2010; India's Rights of Persons with Disabilities Act, 2016 and Transgender Persons (Protection of Rights) Act, 2019; the United Nations Convention on the Rights of Persons with Disabilities; and the equality and accessibility laws of other countries where our users live. Where the law of your country sets a higher standard, we will aim to meet it.

1. Accessibility

We are committed to ensuring that our website and course materials are accessible to all users. This includes individuals with disabilities, those using assistive technologies, and those with varying levels of technological proficiency. To achieve this, we strive to:

  • Meet the Web Content Accessibility Guidelines (WCAG) 2.2 at Level AA, the international standard that underpins accessibility requirements such as EN 301 549 in Europe and IS 17802 in India.
  • Regularly review and update our website to improve accessibility features, including testing it with assistive technologies such as screen readers.
  • Provide course materials in alternative formats (for example, large print, accessible documents, or audio) on request, at no extra cost, to meet different learning needs.
  • Provide captions and transcripts for recorded videos, and captions for live sessions where possible.
  • Use clear, plain language, and make sure our website works with browser translation tools so that people whose first language is not English can use it.

2. Diversity and Inclusion

We celebrate and embrace diversity in all its forms. Our course content and discussions are designed to be inclusive and respectful of different cultures, beliefs, and family structures. We actively work to:

  • Create an inclusive and welcoming learning environment where everyone, regardless of their family structure, culture, religion or belief, gender identity, or sexual orientation, feels valued and respected.
  • Encourage open dialogue and mutual understanding among participants, regardless of their backgrounds or viewpoints.
  • Foster an atmosphere of empathy and support among participants.
  • Set clear expectations for respectful behaviour in our courses and online spaces. We do not tolerate harassment, hate speech, or discriminatory comments, and we may remove content or restrict access for anyone who does not meet these expectations.
  • Where possible, schedule live sessions at times that suit different time zones, and make recordings available so that participants around the world can take part.

3. Equal Opportunity

ParentMed is committed to providing equal opportunities for learning and participation. We do not discriminate on the basis of age, disability, gender reassignment or transgender status, gender identity, marriage or civil partnership, pregnancy and maternity, race (including colour, nationality, and ethnic or national origin), caste, religion or belief, sex, sexual orientation, family structure, or any other characteristic protected by the law that applies to you. We aim to:

  • Ensure that all participants, including LGBTQ+ families, single-parent families, adoptive and foster families, and grandparents or other relatives raising children, have the same opportunities to engage in and benefit from our educational courses.
  • Address any barriers or challenges that may arise by making reasonable adjustments (also known as reasonable accommodations) to meet individual needs, at no extra cost to you.
  • Keep any information you share with us about a disability or other personal circumstances confidential, and use it only to support you, in line with our Privacy Policy.

4. Feedback and Improvement

We value feedback from our users as it helps us continually improve our website and courses. If you have suggestions, encounter accessibility issues, need a reasonable adjustment, or would like this policy in an alternative format, please email us at [email protected] with the subject line "Accessibility and Inclusion". We commit to:

  • Acknowledge your feedback or concern within 5 working days and aim to resolve it within one month.
  • Work diligently to address identified issues and implement necessary improvements.
  • Tell you how to take your concern further if you are not satisfied with our response.

If you are not satisfied with our response, you can seek further help from: the Equality Advisory and Support Service (EASS) if you are in the UK; the Office of the Chief Commissioner for Persons with Disabilities, or the State Commissioner for Persons with Disabilities where you live, if you are in India; or the national equality or disability rights body in your country if you live elsewhere.

5. Ongoing Commitment

Inclusion is an ongoing journey, and we are dedicated to continuously improving our practices and policies. We will review this inclusion policy at least once a year, and whenever the law or our services change, to ensure it remains aligned with our mission of providing accessible and inclusive education for all family structures.

We invite all participants to join us in upholding these principles of inclusion, creating a supportive and enriching community at ParentMed that includes LGBTQ+ families, single-parent families, and all carers, wherever they live.
